Overview
Plates by Pickle (“we”, “us”) operates the number plate visualiser, checkout and order tracking services at www.platesbypickle.co.uk and the Plates by Pickle mobile app. This policy explains what personal data we collect, why we collect it, how long we keep it, and the rights you have over it.
Data we collect
- Account data: your name, email and password (held securely by our authentication provider) when you register or sign in.
- Order data: the registration, plate size, style and options you configure, plus the delivery name, phone and address you enter at checkout.
- Identity & entitlement documents: to satisfy UK number plate law (RVDF / BS AU 145e) we ask for proof of identity (driving licence or passport) and proof of registration entitlement (V5C logbook or V948 certificate). These are uploaded at checkout and held in private, access-controlled storage.
- Payment data: payments are processed by Base44 Payments / Wix Payments. We never see or store your full card details — only an order reference, the amount and a payment status.
- Marketing preference: whether you opted in to marketing emails at the basket or on your profile.
- Technical data: standard analytics (page views, device type) and, if you contact support, any messages you send us.
Why we use your data
- To manufacture and dispatch your plates to the correct specification and address.
- To verify your legal entitlement to the registration, as required by UK law.
- To process your payment and fulfil your order.
- To send you order updates and tracking information.
- To send marketing emails, only if you have opted in (you can opt out at any time).
- To respond to customer-service enquiries.
- To prevent fraud and keep records for legitimate business and tax purposes.
Legal basis for processing
We process your data under (a) the contract of sale between you and us, (b) our legal obligation to verify identity and registration entitlement before supplying plates, (c) your consent for marketing, and (d) our legitimate interests in running the business, preventing fraud and keeping records.
How long we keep data
Order and identity/entitlement records are retained for as long as required by UK law and DVLA guidance for registered number-plate suppliers, and afterwards only for as long as needed for records, tax and dispute resolution. Marketing preferences are kept until you opt out or ask us to delete them.
Sharing your data
We only share data with the providers we need to run the service:
- Payment processor (Base44 Payments / Wix Payments) to take payment.
- Delivery carrier (Royal Mail) to dispatch and track your order.
- Cloud and email providers that host the app, store your uploaded documents privately, and deliver order/marketing emails.
We never sell your data, and we only share it where necessary to fulfil your order or where required by law.
Your rights
Under UK GDPR you can ask us to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Request deletion of your data where the law allows.
- Object to or restrict certain processing.
- Withdraw your marketing consent at any time (use the unsubscribe link or contact us).
- Receive a copy of your data in a portable format.

Children
Our services are not aimed at children under 16, and we do not knowingly collect data from them. If you believe a child has provided us with personal data, please contact us so we can remove it.
Cookies & analytics
We use essential cookies to keep you signed in and remember your basket, and anonymous analytics to understand how the site is used. You can disable analytics and still use the app.
Security
Uploaded identity and entitlement documents are stored in private, access-controlled storage and are only viewable by authorised staff for manufacture and legal verification. We use HTTPS for all data in transit.
